Patient Experience & Care Coordinator (Full-Time)
The ANOVA Institute for Regenerative Medicine is a private clinic and research institute specializing in regenerative, translational, and cellular medicine, located in Frankfurt - Offenbach, Germany. Led by Prof. Dr. med. Dr. phil. Dr. med. habil. Michael K. Stehling, ANOVA pioneers state-of-the-art regenerative treatments with the highest safety standards. Our ANOVA Stem Cell Secretome, a fully autologous product, is developed using a GMP-compliant method to optimize stem cell growth and extraction.
Role Description
We are looking for a dependable and empathetic team member to support our international patients during their visits and assist with coordination tasks when needed. This role combines two key responsibilities: accompanying patients throughout their appointments to ensure they feel informed and supported, and stepping in to handle communication and coordination when the main patient care coordinator is unavailable.
This position requires someone who is comfortable working directly with patients, can manage tasks independently, and is able to provide clear, professional communication both in person and in writing.
Responsibilities:
- Accompany patients to and from appointments within the clinic (e.g., radiology, consultations)
- Be available during their visit to answer questions, explain next steps, and provide support
- Offer and organize follow-up appointments as needed
- Help patients navigate the clinic and ensure their visit runs smoothly
- Respond to patient inquiries by phone and email, primarily in English
- Prepare and manage patient files and ensure accurate record-keeping
- Coordinate with medical staff to align appointments and treatment plans
- Step in when the primary coordinator is on leave or during high workload periods
Qualifications:
- Fluent English; conversational German required (fluency preferred)
- Professional and empathetic communication style
- Reliable, well-organized, and detail-oriented
- Experience in customer service, patient care, or client-facing roles is an advantage
- Comfortable working with sensitive medical information and supporting patients during procedures
- Familiarity with CRM systems such as ZOHO is a plus
- Interest in innovative medical treatments is welcome but not required
